Learn how to add, edit, and organize your clients in billli for efficient invoicing and relationship management.

Managing your client database in billli helps you invoice faster and keep your business organized. This guide covers adding clients, managing their information, and best practices for client organization.

Adding a New Client

There are two ways to add clients in billli:

From the Clients Page

Navigate to Clients

Click Clients in the main navigation.

Click New Client

Click the New Client button in the top right.

Enter Client Details

Fill in the client's information (see required fields below).

Save

Click Save to create the client.

While Creating an Invoice

You can also add clients on-the-fly when creating an invoice:

  1. Start a new invoice
  2. In the client dropdown, click Add new client
  3. Enter the client details
  4. Continue with your invoice

Required Client Information

For Swiss QR-Bill compliance, you need:

Optional Client Information

Additional fields help you stay organized:

  • Email - For sending invoices directly
  • Phone - Contact number
  • VAT Number - Client's VAT ID (for B2B invoices)
  • Notes - Internal notes about the client

Always add the client's email address. This allows you to send invoices with one click instead of downloading and emailing manually.

Swiss Address Formats

billli formats addresses according to Swiss postal standards:

For international clients:

Tech Solutions Ltd

United Kingdom

Editing Client Information

To update a client's details:

  1. Go to Clients
  2. Click on the client's name
  3. Click Edit
  4. Make your changes
  5. Click Save

Keep client information up to date so your new invoices always reflect current contact details.

Viewing Client History

Each client's page shows:

  • Contact details - All saved information
  • Invoice history - All invoices for this client
  • Total revenue - Sum of all paid invoices
  • Outstanding amount - Unpaid invoice total

Organizing Your Clients

Search and Filter

Use the search bar to quickly find clients by:

  • Company name
  • Contact name
  • City
  • Email

Client List View

The clients list shows at a glance:

  • Client name and location
  • Number of invoices
  • Outstanding balance
  • Last invoice date

Best Practices

Keep Information Current

Update client details when they change:

  • New address → Update before next invoice
  • New contact person → Update the name field
  • Changed email → Update to ensure delivery

Use Consistent Naming

Develop a naming convention:

  • Companies: Use official company name
  • Individuals: "Firstname Lastname" format
  • Add legal form if relevant (GmbH, AG, etc.)

Add Notes

Use the notes field for:

  • Payment preferences
  • Special agreements
  • Contact preferences
  • Project references

Deleting Clients

You can archive clients you no longer work with:

  1. Go to the client's page
  2. Click Archive
  3. Confirm the action

Archived clients are hidden from the main list but preserved for your records. You can restore them anytime.
